work smarter not harder

Hello Readers,
Many of us often think that, we work hark but we are unable to achieve our goals. So taking this point in consideration to I am going to tell you the secret of Success which is to "Work Smarter and not Harder".

Today I will be telling you about three things in this post-:

1. What does Smart work means?
2.How will working smart help your business?
3.How can you manage your time and organize your business better?

Imagine "Urjuice Corner" is a juice bar that serves healthy drinks with names like "Green For the Greater Good" and some other catchy names. The business of  Urjuice Corner is booming. Now a gym is opened next to Urjuice Corner which mean that now they will get more customers. It's great for their business. So here smart work comes into play where you will need to deal with more customers.
No doubt about it that running a business is a hard work. It's easy to wear yourself down by working too many hours and taking on too much. But giving 110% and working longer hours doesn't necessarily helps you reach your business goals, especially if you are working inefficiently
and running yourself into the ground. Instead, you can work smarter.

What does working smart Means?

Working Smart is all about finding ways to organize the workloads of you and your employees so you're producing higher quality work in more efficient ways. There is not one way to work smarter. It's all about experimenting and figuring out what works best for your business. But we can show you a few steps that can help you get into "work smarter not harder" mindset.
The first step to working smart is to get organised. After all, it's better to spend your time running your business than looking for a lost receipt. And make sure you and your employees know where all important business information, files, and even supplies and goods are. While you're at it, make sure everyone knows how to get their hands on all of this, too. This might mean getting your storage room in order or creating a filing system for your receipts and paperwork. If you need to organize digital files and documents, you might use a Costumer Relationship Management (CRM) system.
By getting organised, you are making everything easy to find and access. That means you can spend less time looking for stuffs, and more time concentrating on important work. This can also have added positive benefits of making you and your employees feel less scattered and overwhelmed, and more confident at work.
Next, create a schedule that can give you a bird's-eye view of your workload and tell you how much time each task will take.
Be as specific as possible when you are creating a schedule. This will help you figure out how much you can realistically do in a day. Ask yourself what your priorities are and how long each tasks will take.

Keep in mind that tasks might take longer than you expect them to. It’s a good idea to pad your schedule with free time that you can use to finish up tasks and take care of any new tasks that might pop up unexpectedly.
Have your entire team create their own schedules in the same way, and then share them with each other. This can help your team understand the group’s priorities (and non-priorities).

TIP It’s also smart to have everyone create monthly calendars that include personal commitments. This can make it easier to create daily, weekly, and monthly work schedules that help people finish important tasks while still leaving work on time and taking much-needed time off.Sharing your schedules and calendars with your team can lead to smarter meetings, too.Instead of wasting time emailing each other to find a meeting time that works, your team can just look at people’s calendars to see when everyone is free.

How will working smart help your business?

You can also save time by emailing the meeting agenda and goals to attendees beforehand so everyone can prepare. This is also a great gut check, because people might point out agenda items that have already been resolved.
You can also be more efficient during the meeting itself. Trying to resolve every issue on the agenda before the meeting ends can make it last forever and keep everyone spinning in circles. Instead, use the meeting to get people’s input.
After the meeting, use a group email or other social networking service like Slack to follow up on any unresolved issues. This can be a great way to help meetings be more productive and less painful.

TOOLS Instead of hopping on a plane, jumping into a taxi, or walking a few blocks to get to a business meeting, you can save time by holding a video conference.Tools like Google Hangouts, Skype, and Zoom can help you meet face to face in the virtual world.Along with smarter meetings, you can save time and effort by creating standardized processes in the office.

Find the most efficient way of doing a task and then use that as your team’s go-to template in the future. For example, you can create a standard follow-up email to send new clients, or have set instructions on how to clean your store before closing.

Write these processes down and share them with your team. This will spare everyone from having to start from scratch each time they do certain tasks. It also ensures that you aren’t the only one who knows how to do important jobs.
We’ve been talking about “sharing” a lot. That’s because the more everyone knows what everyone else is doing, the more efficient work can become.
But sharing only works if people understand what you’re trying to share. So when you’re creating shared documents or writing up standardized processes, make them detailed, clear, and easy for others to understand.

Consistency is also key. Use the same language in all your business communications. For example, if you normally call a shared digital folder “The Hub” don’t switch to calling it “The Team Drive” in emails you send out.
Consistent language like this helps cut down on confusion and on wasted time clearing up that confusion. When you keep things consistent, people can quickly and easily understand what is being said and asked for.

How can you manage your time and organize your business better?

Finally, you can work smarter by not being so hard on yourself. That is, you can rely on the resources around you and cut down on multitasking.
You don’t have to be great at everything your business requires. Think back to our friend Juliana and her juice store. Maybe she’s a genius at juices, but terrible at logistics and finances. She should consider using external resources to help.
Plenty of business services can help you run the side of your business that you can’t do efficiently or don’t have time to do. For example, if you need to ship products, there are services that can do all the packing and shipping for you.
Be fair to yourself during your workday, too. Multitasking is the enemy of working smarter. For example, it’s tempting to answer emails during a meeting. But this could lead to you missing important information.
It’s much better to dig into a single task exclusively before you move on to the next. This can help you avoid doing something wrong because you’re rushed or distracted and having to do it again, and/or producing low-quality work.

Hope you liked this post about the meaning of work smart and not hard.
